Worked example

A worker clocks 9:00 AM to 5:00 PM Monday through Friday with a 30 minute lunch each day, then 9:00 AM to 1:00 PM on Saturday, at $20 per hour with overtime after 40 hours. Total time is 41.5 hours: 40 regular hours plus 1.5 overtime hours. Gross pay is $845: $800 of regular pay plus $45 of overtime pay at time-and-a-half.

Common mistakes

  • Entering break time in hours instead of minutes, which subtracts far more than intended from each day.
  • Leaving a day off with 9:00 AM to 5:00 PM still filled in. Set both times to 00:00 and the break to 0 so the day counts zero hours.
  • Mixing 12-hour clock entries with 24-hour clock entries. Enter 5:00 PM as 17:00 so afternoon shifts calculate correctly.
  • Applying the 40 hour weekly overtime threshold to a partial first or last week without adjusting the threshold to match the days worked.

How is weekly overtime calculated?

Weekly overtime is hours worked beyond the threshold, usually 40, multiplied by the hourly rate and the overtime multiplier. At time-and-a-half, 1.5 overtime hours at $20 per hour equals $45. Under the federal Fair Labor Standards Act, covered nonexempt employees earn at least 1.5 times their regular rate past 40 hours in a week.

Do I subtract lunch breaks on a timesheet?

Subtract unpaid breaks only. An unpaid 30 minute lunch is not work time and comes off the daily total. Paid breaks and rest periods count as hours worked. When in doubt, match what your employer treats as paid time.

How do I enter an overnight shift on a weekly timesheet?

Enter the clock-in and clock-out times normally. When the clock-out time is earlier than the clock-in time, the calculator treats it as the next day automatically, so a 10:00 PM to 6:00 AM shift counts as 8 hours.
